Position Summary

North Star Vascular & Interventional is seeking a professional, organized, and patient-focused Medical Receptionist to serve as the first point of contact for patients and visitors.

This role is essential in creating a welcoming, efficient, and patient-centered environment while supporting front desk operations and clinical workflows. The ideal candidate thrives in a fast-paced healthcare setting, demonstrates strong attention to detail, and is committed to delivering exceptional patient experiences.


Key Responsibilities

Front Desk & Patient Interaction

  • Greet and welcome patients and visitors in a warm, professional manner
  • Manage patient check-in and check-out processes efficiently
  • Ensure all required paperwork is completed accurately
  • Assist visitors and help guide them through the clinic
  • Maintain a clean, organized, and presentable reception area

Scheduling & Communication

  • Answer and manage incoming phone calls
  • Schedule, confirm, and modify patient appointments
  • Respond to patient inquiries and route calls appropriately
  • Coordinate follow-up appointments and transportation as needed
  • Communicate effectively with providers and clinical staff
  • Assist with lead callbacks, patient registration, and consultation scheduling

Records, Documentation & Compliance

  • Maintain and update patient records in EMR systems
  • Organize and manage electronic and physical filing systems
  • Support quality measures data entry and documentation
  • Ensure strict adherence to HIPAA and patient confidentiality standards

Insurance & Billing Support

  • Verify insurance eligibility and process insurance documentation
  • Facilitate communication between patients and insurance providers
  • Collect co-payments and other patient payments
  • Provide receipts and assist with billing-related questions

Qualifications

  • High school diploma or equivalent required
  • Additional certification in office administration or related field preferred
  • 1–2+ years of experience in a medical receptionist or healthcare front office role
  • Proficiency with Electronic Medical Record (EMR) systems
  • Knowledge of medical terminology and healthcare workflows
  • Strong organizational and multitasking abilities
  • Excellent verbal and written communication skills
  • Professional demeanor and appearance
  • Strong customer service orientation
  • Ability to handle sensitive information with discretion and confidentiality

Working Conditions

  • Monday through Friday (day shift)
  • Occasional overtime as needed
